ChatGPT Business and Microsoft Copilot both provide managed AI for company work. Evaluate ChatGPT Business when you need a shared workspace for research, analysis, reusable instructions, and coding work across several tools. Evaluate the paid Microsoft Copilot offering when the task depends on company email, SharePoint files, Teams meetings, and work inside Microsoft 365 applications.
The difference is less absolute than “standalone versus integrated.” ChatGPT supports Microsoft 365 connections and office extensions; Copilot supports external data through connectors and agents. The useful comparison is whether the purchased plan can access the right evidence, produce the required deliverable, and meet your administration needs. This guide uses official documentation and current plan details, rather than claiming a comparative performance test.
Compare the actual subscriptions
This article compares ChatGPT Business with Microsoft’s commercial Copilot experience, focusing on Microsoft 365 Copilot Business for small teams. It does not treat a personal Copilot account or a free chat entry point as equivalent to the paid work-data license. Microsoft’s documentation is transitioning from the name Microsoft 365 Copilot to Microsoft Copilot; some license and pricing cards retain the older name.

Current seat prices and commitments
Prices below were checked on October 12, 2026. ChatGPT figures are the Help Center’s USD prices; Microsoft figures are from its US business page. Local currency, tax, promotions, and purchase channel can affect checkout.

OpenAI’s billing guide includes ChatGPT and Codex usage in both seats. Premium has five times Standard’s allowance and no five-hour usage limit, with optional credits for additional usage. Newer self-serve subscriptions have a 200-seat paid-capacity limit; older workspaces retain their previous limit.
Unassigned seats remain billable. Removing a member does not reduce purchased capacity automatically; schedule the seat reduction for the next billing cycle.
The live Microsoft pricing page offers Yearly and Monthly subscription tabs. Its $18 annual add-on promotion runs through December 31, 2026, for eligible existing Business-plan customers and applies to the first year only. The regular $21 annual rate matters when estimating renewal. The page also marks Copilot Cowork as metered, so the seat price is not a promise that every experience has no usage charge.
Microsoft’s Business FAQ still says annual commitment only, which conflicts with the current monthly subscription card. Confirm the commitment on the actual purchase quote rather than assuming that paying monthly always means either an annual contract or a cancellable monthly term. The FAQ lists Business Basic, Standard, and Premium eligibility and a 300-seat limit. A Teams license is required for Teams features; buying Copilot does not create that entitlement by itself.
What the price comparison means for a small team
For an illustrative five-person group, five Standard ChatGPT seats cost $125 on monthly billing or $1,200 for an annual subscription. Five Copilot Business add-ons at the regular annual rate cost $1,260 yearly; the eligible first-year $18 offer gives $1,080. Microsoft 365 base licenses, taxes, extra usage, and administration effort are excluded from those calculations.
That is a different decision for a team that already pays for qualifying Microsoft licenses than for a team starting from another suite. Do not add an office-suite bundle’s entire price to an existing license bill without checking whether it replaces the current subscription. Conversely, do not compare an add-on price with a complete workspace price while omitting a required base license.
A heavier user might need Premium rather than Standard, but upgrade based on the actual task and usage pattern. A higher allowance does not prove that the user’s completed work will be five times as valuable.
Knowledge access: test the source and the permissions
ChatGPT’s current Company Knowledge plugin replaces the earlier company-knowledge option in chat. It needs an installed, available plugin and at least one supported source. Installing it does not connect source accounts or grant access to their data. Workspace settings, app availability, and provider authorization still apply, including individually authorized accounts or supported administrator-managed connections.
Microsoft’s current grounding documentation describes a Work IQ switch instead of the old separate Work and Web tabs. With the appropriate add-on license and Work IQ enabled, Copilot can reference accessible work data. Turning it off means the response uses attached content, public web information, and personalization instead of Microsoft 365 work data. A general answer can result when relevant sources are unavailable.
For either product, test an authorized project member and a colleague who should not see that project’s files. Ask for the current document, a superseded version, and something absent from the source. Verify the cited passage and effective date. Correct access restrictions do not repair files that the business already shared too broadly.
Use the same deliverables for a practical pilot
Choose recurring jobs before choosing a winner. Give each pilot user the same approved source pack and a defined finished deliverable. Record where the assistant ran, which license it used, and whether sources were connected, uploaded, or inaccessible.

For meeting use, verify capture and source availability on your devices. ChatGPT Record is documented for the macOS app; it is not a blanket promise of meeting capture on every platform. Microsoft’s paid work experience can summarize Teams meetings, but the meeting evidence and permissions still need checking. A pasted transcript is a different workflow from automatic capture.
Measure time to a reviewed, usable result, including source lookup, corrections, formatting, transfer, and verification. Count factual errors, missed requirements, unsupported claims, and failed access tests separately. A tool that produces a draft quickly can still require more work before the draft is usable. This is a proposed evaluation process, not reported benchmark results.
Administration and data terms can decide the purchase
ChatGPT Business includes SAML SSO and centralized administration, but the current plan matrix places SCIM, custom retention, and certain granular controls in Enterprise. Do not assume a shared business workspace includes every enterprise control. OpenAI says Business data is not used for model training by default.
Microsoft’s commercial privacy documentation says prompts, responses, and Graph data are not used to train foundation models, and Copilot surfaces organizational content the user can already view. Interactions are still stored under the organization’s applicable commitments; “not used for training” is not “nothing is retained.” Review third-party agent terms separately.
Assign an owner for licenses, source connections, sharing, and employee departures. Confirm the needed retention, provisioning, and procurement arrangements before standardizing either product. Then choose based on the pilot’s accepted deliverables and full cost. Using both can be justified when distinct recurring jobs benefit from each; a Microsoft-first or mixed-tool label alone does not establish that benefit.
